AGM 2025

As a registered charity, we must, by law, hold an Annual General Meeting (AGM) to give our members the chance to meet our Trustees and hear their report on the year, review of the accounts, and other administrative business.

It’s the Annual General Meeting of the Group Scout Council, which you’ll hear referred to during the evening. The Group Scout Council is made up of all adult members of the group, all Young Leaders in the group, all Patrol Leaders in the scout troop, all parents of Squirrels, Beavers, Cubs and Scouts in the group, the Northern Norwich District Lead Volunteer(s) and Chair, and anybody appointed to the council at a previous AGM. This is your AGM, so please feel welcome and take part.

By it’s nature it’s a formal event, but we do our best to keep it brisk and engaging! We’ll be doing all the things we have to do by law, but also presenting special awards, having fun and a bite to eat too.

  1. Introduction and welcome
    Our Chair, Nicola, welcomes everyone to the meeting.
  2. Apologies for absence
    We make a note of anyone who’s told us they’re unable to join the meeting.
  3. Governance topics
    1. Approve the minutes of the Annual General Meeting held on 22nd September 2024
      Were the notes taken at the last AGM accurate?
    2. Adopt the model constitution from Policy, Organisation and Rules (POR)
      The constitution is the legal document that allows us to exist. It sets out how the group is run.
    3. Note the Group’s financial year
      We do this so everybody knows what period of time we are talking about today.
    4. Approve appointed and community members of the Group Scout Council
      This gives us the chance to invite people to join our Group Scout Council if we wish to.
    5. Agree the number of members that may be appointed to the Trustee Board
      The Trustee Board looks after the governance of the group, and this is where we decide how many people are allowed to be on the board.
    6. Agree the quorum for future meetings of the Group Scout Council (excluding this AGM)
      A quorum is the minimum number of people who must be present at a meeting to make the proceedings of that meeting valid.
  4. Review of the previous year
    We look back at the last reporting year, from both an activity and governance point of view.
    1. Receive and consider the Annual Report of the Group Leadership Team
      The Group Leadership Team’s report talks about all of the exciting things the group has done in the last year, from Squirrels to Scouts and everything in between.
    2. Receive and consider the Annual Report of the Group Trustee Board, including the annual Statement of the Accounts
      The Trustee Board’s report covers the finances over the last 12 months and other governance topics.
  5. Making appointments
    During this section, we decide who will take on the different voluntary roles that need filling each year. If you are interested in volunteering, please speak to us!
    1. Appoint the Group Chair
    2. Appoint the Group Treasurer
    3. Appoint members of the Group Trustee Board
    4. Appoint the Independent Examiner
  6. Items from the Group Lead Volunteer
    Our Group Lead Volunteer, James, has a chance to give any important notices, present awards, or anything else!
  7. Guest speaker(s)
    We sometimes have special visitors at our AGM, usually from Northern Norwich Scout District. This is their chance to say something if they wish.
  8. Vote of thanks
    We traditionally make a formal note of thanks to everyone involved in the group.
  9. Closing remarks
    Our Chair, Nicola, wraps up the meeting and we outline the plans for the rest of the event.

Hire our Hall

You can book our hall for parties, functions, meetings and other events. The hall is used most weeknights for Scouts & Guiding, but is available weekday daytime and most weekends are also available to hire.
